This Privacy Policy describes the processing of personal data by the Finnish Offshore Sailing Association – Avomeripurjehtijat ry – Havskappseglarna rf.

MEMBERSHIP REGISTER
Personal data is processed in the Register of Members for the purposes of legitimate interests based on membership and the implementation of agreements between the member and the Association.
The following information about individuals may be collected and stored in the Membership Register: first name, surname, address, postal address, postcode, email address, mobile phone number, date of joining, date of payment of the membership fee and any other information shared by the member.
No other personal data will be collected unless required by future legislation or the Association’s activities.
This information may be stored on the Association’s Google Drive, ePasseli online store, Passeli financial management information system, Mailchimp newsletter service and Squarespace online service.
The information in the membership register is primarily data provided by the individual to the Association or generated from the validity of the membership. The Association collects personal data in the following contexts:
- application of a Membership,
- purchase and application to a measurement certificate,
- participating in events,
- enabling live tracking of competitions; and
- when a member responds to member surveys and when a member provides feedback or otherwise communicates with the Association.
We publish the information as follows:
- For trustees, on the avomeripurjehtijat.org website: name, committee membership, email (with member consent), phone number (with member consent),
- for those who purchase and apply to a measurement certificate on https://holvi.com/shop/avarit or Avomeripurjehtijat.org: name, boat name, certificate details;
- for events (such as ORC EM 2024 on orceuro2024.com), the name of the boat and skipper; and
- for live tracking of races, the name of the boat.
The Association’s forms state that the data will be stored in the Association’s membership register. Membership of the Association is conditional on acceptance of the data collection. Only the information necessary to maintain the membership register and to enforce contracts with members is collected from members.
PROTECTION OF REGISTERS, DISCLOSURE AND TRANSFER OF DATA
Data is processed digitally in the Association’s membership register, online store, and electronic forms for ordering measurement certificates and participating in events. Access to the register of members is protected by appropriate technical and organisational safeguards, such as access restrictions, passwords and two-factor authentication.
The Association may disclose members’ personal data to third parties only in the circumstances described in this notice. The Association may transfer personal data to service providers and subcontractors who process personal data on behalf of the Association.
In addition to the above, personal data may also be disclosed to third parties without the consent of the individual, if the disclosure is required by law or regulation. As a general rule, the Association does not transfer personal data outside the EU/EEA. For any transfers, we will comply with applicable laws and regulations.
RETENTION PERIOD OF PERSONAL DATA
The data collected in the register of members will only be kept for as long as the data can be considered necessary for the purpose for which it is collected as described in this notice. The Association will determine the deletion periods and deletion policies and will ensure the deletion of outdated and unnecessary data.
DISPUTE RESOLUTION
The Association will always seek to resolve any dispute directly with the data subject. However, the data subject also has the right to submit a dispute concerning the processing of his/her personal data to the Data Protection Authority.
